How can I add my project documents?
After you have created a project, adding documents is the next important step. In 12Build, you can upload documents to the current project phase and organize them clearly for your subcontractors.
What will you find in this article?
-
Uploading documents via a ZIP file: Quickly import your entire folder structure.
-
Manually adding folders and documents: Organize your project file yourself.
-
Import folder structure: Use templates or previous projects.
-
External links: Import documents from SharePoint, Docstream, or Autodesk.
-
Internal documents: Files that are only visible to your colleagues.
Summary
You can add project documents in four ways: via a ZIP file, manually, by copying an existing structure, or via an external link (such as SharePoint). Documents are always added to the current phase of the project, but files from other phases remain visible via the view settings.
Prerequisites and Target Audience
This article is intended for general contractors who want to prepare documentation for a Request for Proposal. Make sure the "Current phase" of your project is set correctly in the general project details before you start uploading.
Uploading documents via a ZIP
This is the fastest way to add a complete folder structure including files:
-
Click the blue Upload button in the top right corner.
-
A pop-up will open asking you to drag a ZIP file into the box or select one.
-
12Build automatically extracts the file and preserves your folder structure.

Manually creating folders and uploading documents
If you require more control over the structure, proceed manually:
-
Click New Main Folder or Subfolder to create a folder.
-
Give the folder a logical name.
-
Inside the created folder, click the Upload button to add specific documents to this folder.
Import folder structure from a template/project
Save time by reusing a proven structure:
-
Use the Longlist/Shortlist feature.
-
Search the screen for the desired template or a previous project (you can also search within other branches of your company here).
-
Select the folders you wish to copy.
-
Optionally, choose whether you also want to import the links to workpackages.
-
Click "Import Selection" at the bottom. The folders will appear immediately in your project, after which you can fill them with new files.
SharePoint, Docstream, or Autodesk
If your organization has an active connection, you can import documents directly:
-
SharePoint & Docstream: Import files directly from your own DMS to 12Build.
-
Autodesk: Currently, you can use the Autodesk BIM Viewer to make models accessible to subcontractors.
Internal documents
Sometimes you have documents that are relevant to your project team but not to the subcontractors (e.g., internal estimates):
-
Go to the Internal Documents tab.
-
Documents you upload here (manually or via ZIP) are only visible to your colleagues.
-
These documents are also linked to the current phase of the project.
Frequently Asked Questions (FAQ)
Question: How can I add documents to a different phase? Answer: Documents are always placed in the 'Current Phase'. Do you want to add something to a different phase? Then first adjust the current phase of the project in the general project details.
Question: Can subcontractors see my internal documents? Answer: No, documents in the 'Internal Documents' tab are strictly for internal use and are never shared with external parties.
Troubleshooting
-
Symptom: My ZIP file isn’t uploading.
-
Cause: The file may be corrupted or too large for the browser settings.
-
Solution: Check that the ZIP folder is not password-protected and, if necessary, try uploading the files in smaller parts (per main folder).
