How can I add an external party to projects?

In this article, you will learn how to add external partners, such as estimating firms or fellow general contractors, to your projects in 12Build. You will learn how to grant them the appropriate read or write permissions and how to allow them to submit proposals on behalf of your organization.

You add an external party via the Project details of a specific project. You can select existing partners from a list or search by email address to grant them read or write access immediately. New parties who do not yet have an account must first be approved by 12Build.

Requirements and target audience

This article is intended for general contractors who collaborate with external consultants or cost estimation firms. Please note that external parties (such as cost estimation firms) must have their own subscription to 12Build in order to be added to projects.

Adding an external party

Linking an external partner is done at the project level.

  1. Open the project to which you wish to add a partner.

  2. Navigate to the Project Details.

  3. Click the Add button on the right side of the screen.

Search by party or email address

After clicking Add, you can search for the desired party in the database.

  1. Select a party from the list displayed or use the search function.

  2. If the contact is not in the list, select the option "The desired contact is not in the list."

  3. Now search specifically for the email address of the person you wish to add.

  4. Select the desired user from the results and assign the permissions:

    • Read permissions: The user can only view data.

    • Write permissions: The party can edit data.

    • Send proposals: Allow the party to send proposals under your company name.

  5. Click Add at the bottom of the pop-up. 

Note: The added users will not receive an automatic email notification. However, the project will appear immediately in their own project overview (dropdown).

Add a new party

If a party or email address cannot be found, the party is likely not yet registered with 12Build.

  1. In the search screen, click on Suggest new party.

  2. Enter the requested information for the external party. 

Please note: When you submit a new party, they will first be contacted by our sales department. Because engineering firms require their own subscription, you cannot add them directly. You must wait until the request has been processed.


Frequently Asked Questions (FAQ)

Question: Will the external party receive a notification when I add them? Answer: No, no email is sent. We recommend informing the external party yourself that the project is now visible in their 12Build account.

Question: Can an external party upload documents on my behalf? Answer: Yes, provided you grant them "write permissions" when adding them and enable the option "send proposals under your name."

Troubleshooting

  • Symptom: I cannot find my partner’s email address.

    • Cause: The partner may not have an account yet or is using a different email address for 12Build.

    • Solution: Check with your partner to see which email address they use for their 12Build license, or use the "Add new party" option.

  • Symptom: The external party cannot see the project.

    • Cause: The party may be looking in the wrong location, or the project has not yet been synced.

    • Solution: Ask the party to refresh their page (F5) and search for the specific project name in their project dropdown.
