Summary

When a colleague receives the "Limited access" notification, an internal contact must manually approve this person. To do this, go to the Tasks tab in the 12Build dashboard and click the Verify Contact button.

Requirements and Target Audience

This article is intended for the primary contact person within the organization (often the administrator).

  • Cause: A colleague has limited access when they have been added by an external party (such as a General contractor), while your 12Build environment is configured so that external parties are not allowed to add contacts directly.

  • Consequence: The colleague can log in, but sees a notification that access is restricted until internal verification has taken place.

Verifying Colleagues

As the first point of contact, you manage these requests centrally in your dashboard.

  1. Log in to the 12Build environment with your administrator account.

  2. On the dashboard, navigate to the Recent Projects section.

  3. Click the Tasks tab. 

  4. Search the list for the colleague who has not yet been verified.

  5. Click the Verify Contact button next to the colleague’s name.

  6. The colleague now has full access to the organization environment.


Frequently Asked Questions (FAQ)

Question: Why can’t the general contractor add my colleague directly? Answer: This is a security setting in your own 12Build environment. It allows you to retain control over who has access to your company data, even if an external party makes a suggestion.

Question: Who receives the notification for these 'Tasks'? Answer: The notifications appear on the dashboard of the person registered as the 'primary contact' for your organization in 12Build.

Troubleshooting

  • Symptom -> My colleague is not listed under 'Tasks'.

    • Cause -> The colleague may not have been nominated by the external party yet or may have already been verified by another administrator.

    • Solution -> Check in User Management to see if the colleague is already listed among the active contacts.
