Use of AI within 12Build
When you perform an analysis of a quotation, we use AI to support you. This means that the document you have selected (or relevant parts thereof) will be processed and temporarily forwarded to a secure and reliable third party to perform the analysis. The results of this analysis will then be returned to you.
Please ensure that you carefully read through this AI-generated analysis and verify its content before relying on it. The results may contain errors or be incomplete and are intended as support, not as a definitive assessment.
Where is my data stored?
Your documents (such as quotations) remain secure within the 12Build platform. For AI analyses, only:
- textual content or relevant segments are temporarily forwarded to an external, secure and reliable third party (currently OpenAI). This data is not stored there permanently and is used exclusively to generate the answer to your specific question.
- utilised Qdrant, a vector database employed by 12Build to efficiently index and reference relevant text segments.
Qdrant is part of the 12Build architecture and is subject to the same security and access measures as the rest of the platform.
Does the model only use my own company data? Is this guaranteed?
Yes, that is guaranteed. Each analysis is performed exclusively on the documents you select at that moment. The AI output is generated contextually based on that specific information. Because there is no ‘cross-pollination’ with data from other customers, the AI only uses the business data you have prepared within your session.
What do you do with confidential information (such as projects under NDA)?
12Build takes a careful approach to handling confidential information within AI functionalities. As with regular projects without an NDA, the following applies:
- all data remains within the chain of 12Build and its contracted AI suppliers;
- the data is not distributed further;
- the data is not accessible to other customers or third parties
In principle, the AI functionality can also be used for projects that are subject to a confidentiality agreement, provided that this fits within the applicable agreements and frameworks.
Who has acces to my data and is it shared?
Acces to the data is limited to:
- yourself, the user within the 12Build platform;
- a limited number of 12Build employees with production access, solely to the extent necessary to provide, manage and support the service;
- the external AI supplier, solely for the purpose of performing the AI analysis.
Important: Your data is never shared with other customers or third parties and is not visible or reusable by other parties. There is no mixing of data; your environment is entirely yours.
Which algorithm or modul is used?
12Build uses a combination of AI technologies:
- Large Language Models (LLMs) from an external supplier (currently OpenAI) for analysing and generating textual responses;
- Qdrant, a vector database, for indexing textual segments from documents and quickly referencing relevant pieces of text.
The specific internal algorithm or model architecture of this LLM is the responsibility of the supplier, but its use is within the framework set by 12Build.
Qdrant is used to ensure that AI analyses are based on content from the selected documents and that relevant text fragments can be efficiently retrieved and used as context for the AI analysis.
How is the integrity of AI-generated data guaranteed?
12Build guarantees this in several ways:
- AI output is always presented as supportive, not definitive or binding;
- Users are explicitly informed that AI results may be inaccurate, incomplete or incorrect.
- The user remains fully responsible for interpretation and use;
- Users are encouraged to carefully check AI results before use.
- After generation, the answers are technically validated using predefined schemas. In many cases, this prevents the model from returning completely free text or random content, but only structured and expected output.
This combination of user awareness, technical validation and human control prevents uncontrolled or unreliable AI output from being used within the platform.
Does my data help train the AI model?
No. 12Build does not train OpenAI's external base model itself, and we do not use your documents to make that model smarter for the outside world. So you are not helping other parties by having your data analysed by us; your intellectual property remains safe with you. Your documents are used exclusively as context to generate specific answers for you. However, the platform can be improved, including the underlying AI models and technologies.
Does the AI make decisions independently?
No. AI within 12Build is used exclusively for analysis and support. Every decision or follow-up action always requires your manual action.
- AI is used for analysis and support;
- no autonomous decisions or actions are carried out;
- you remain responsible for all follow-up actions and see references to the outcome of AI analyses in a document.
Is it clear when something comes from AI?
Absolutely. We use a clear visual marker for all AI output. In addition, as a user, you must explicitly agree to the disclaimer and declare that you are authorised to use AI for your organisation.
Is there any tracking of what AI does?
Yes, AI-related actions within the 12Build platform are actively logged. This logging is used, among other things, to:
- record the use of AI functionalities;
- trace the interactions and output of AI;
- store user feedback on AI results for the purpose of quality improvement and control.
This provides transparency about the use of AI and supports the evaluation, auditing and further development of AI functionalities.
