How can I manage users in the Evaluator?

Manage who has access to the Evaluator and assign the appropriate roles and labels to your colleagues to ensure the evaluation process runs smoothly.

Summary

As an administrator, you can determine who has access to the platform within the Evaluator. You can add new colleagues, assign roles (administrator, initiator, or evaluator), and link job labels so that they automatically see the correct questions during the evaluation.

Requirements and target audience

This feature is available exclusively to administrators. Only with this role do you have the permissions to view the user overview and make changes for the entire organization.

User Management

Access your colleagues’ management settings via your personal menu.

  1. Click on your own name in the top right corner of the screen.

  2. Select the User Management option from the dropdown menu. 

Search, delete, and add users

The main screen provides an immediate overview of all active users.

  1. Search: Use the search function on the left to quickly find a specific colleague.

  2. Remove: Click the black cross next to a user’s name to revoke their access.

  3. Add: Click the Add User button to register a new colleague. 

Add User

When creating a new user, you immediately set the foundation for their permissions and tasks.

  1. Enter the user’s personal information.

  2. Assign the desired role (Administrator, Initiator, or Evaluator).

  3. Assign a role label.

    • Note: Based on this label, the user will automatically receive the questions relevant to their role during the evaluation.

Edit User

The details or roles of existing users can be changed at any time.

  1. Locate the user in the list.

  2. Click the pencil icon next to the user’s name. 

  3. Edit the details, role, or labels in the screen that appears and save the changes.

Question: What is the difference between the three roles? Answer: An administrator manages the entire application, an initiator sets up evaluation rounds and monitors progress, and an evaluator performs the actual assessments.

Question: Why do I need to assign a role label? Answer: Role labels enable smart filtering. This means, for example, that a calculator does not have to answer procurement-specific questions, which makes the evaluation process more efficient.

Troubleshooting

  • Symptom: A new user sees all questions instead of a selection.

    • Cause: There is likely no role label linked to the user profile, or the label does not match the labels associated with the questions.

    • Solution: Go to User Management, click the pencil icon next to the user, and verify that the correct role label is selected.
