How can I download the evaluations from an evaluation list in the Evaluator?

Summary

Once an evaluation list is complete, you have the option to export the results. You can choose to download all evaluations within a list at once, make a specific selection using filters, or export a single evaluation.

Requirements and Target Audience

This feature is available exclusively to administrators and initiators. To download data, the evaluation list in question must have the status "Completed" or must at least contain completed evaluations.

Open evaluation list

Before accessing the export options, select the correct list in the system.

  1. Navigate to the overview of evaluation lists.

  2. Locate the list for which you wish to view the results.

  3. Click the Open button. 

Download evaluations

Within the opened list, navigate to the results to start the export.

  1. In the menu on the left, click Evaluations. 

  2. Choose from the available download options:

    • Download all evaluations: Use the general download button at the top of the overview (Option 1). This exports the entire list.

    • Download individual evaluation: Click the specific download button behind the row of the desired evaluator/supplier (Option 2).

Question: Can I download evaluations that are still marked as 'Open' or 'Draft'? Answer: It is recommended to wait until the evaluations are finalized for a complete report, but the download function is available for all records shown in the overview.

Question: In what format are the evaluations downloaded? Answer: The evaluations are exported in a format suitable for further analysis and reporting outside of the Evaluator.

Troubleshooting

  • Symptom: I do not see any evaluations in the list to download.

    • Cause: There may not yet be any evaluators or suppliers linked to this list, or a filter is enabled that hides all results.

    • Solution: Check if any evaluations have been created under the 'Evaluations' tab and turn off any filters on the left-hand side.
