How can I approve or reject a request from a subcontractor?

Summary

When subcontractors respond to a public post, you will find them under “Posts.” You can review each application individually by viewing the company profile and then approving or rejecting it. Upon approval, the subcontractor is immediately added to your project with the status “Pending.”

This article is intended for general contractors who use the posting feature in 12Build to attract new subcontractors. You must be logged in to manage incoming responses.

Viewing posts

All responses to your published workpackages are collected centrally.

  1. In the main menu, go to Communication (1).

  2. Select the Publications option (2).

  3. Check the hourglass icon (3); the number next to it indicates how many subcontractors are waiting to respond.

  4. Click the arrow next to a specific publication (4) to expand it and view the requesters. 

Reviewing Requests

Before making a decision, you can check the quality of the subcontractor.

  1. Click on the subcontractor’s name to open the company profile (1) for detailed information.

  2. Use the buttons in the overview (2) to decide whether to approve or reject the application. 

Approve or Reject

With each action, you have the option to send a personal note.

Approve

  1. Click the Approve button.

  2. A pop-up window will open where you can write a message to the subcontractor (1).

  3. Click on Approve (2).

  4. The specialist is now automatically added to your Communication overview (2) under the Communication tab (1) with the status "Pending."

Reject

  1. Click the Reject button.

  2. Write a message in the pop-up window stating the reason for rejection.

  3. Click the Reject button.

  4. The company will be marked as rejected in your publication overview and will not be added to your project. 


Frequently Asked Questions (FAQ)

Question: Will the subcontractor receive a notification if I reject the request? Answer: Yes, the message you write in the pop-up window when rejecting the request will be sent to the subcontractor as an explanation for the rejection.

Question: Can I still add a rejected subcontractor later? Answer: A rejected subcontractor remains marked in the publication overview. If necessary, you can always search for them manually and add them to your communication overview.


Troubleshooting

  • Symptom: I do not see any subcontractors, even though I received a notification.

    • Cause: The list of publications is likely still collapsed.

    • Solution: Click the arrow on the left side of the relevant publication to expand the list of bidders.

  • Symptom: The hourglass does not show a number.

    • Cause: There are currently no pending registrations that require a response.

    • Solution: Check under 'Publications' to see if all previous requests have already been processed (approved or rejected).
