What status changes are possible for evaluations within the Evaluator?

The evaluation process within 12Build goes through several stages. Depending on the score, the user’s role (evaluator, initiator, or administrator), and the settings, the status of an evaluation changes automatically or manually.

Evaluations start as Draft and become Open after activation. A passing score often results in immediate publication or the Submitted status. Low scores (1 through 5) automatically trigger the On Hold or Quarantine status for additional review. The basic statuses: From Draft to Open

The process begins with the preparation of the list.

  • Draft: The phase in which the list is prepared. As soon as the initiator activates the list, all evaluations jump to the Open status.

  • Open: The evaluator can now complete the questionnaire.

    • Canceled: Evaluations that are still set to 'Open' when a complete list is finalized automatically receive this status.

    • Rejected: An evaluator may decide not to complete a request. An initiator can set a rejected evaluation back to Open for a new attempt.

Handling of scores and verification

The score determines which path the evaluation follows after completion.

On hold

This status occurs with a score of 4 or lower.

  • Actions: The administrator or initiator can set the evaluation back to Open for revision, or decide to publish it after all (status then becomes Submitted or Published).

  • Exclusion: The administrator can set the status to Closed if publication is not desired (only for scores of 5 or higher).

Quarantine

This status occurs when the score is a 5.

  • Actions: The administrator can extend the quarantine, reset the status to On Hold, or set the evaluation back to Open for the evaluator.

  • Publication: Automatic publication usually follows the quarantine period.

Submitted

This status appears when the evaluator has completed the list, but the initiator must perform the final check.

  • Actions: The initiator can publish the evaluation, set it back to Open for corrections, or place it on hold/in quarantine.

Final statuses

  • Published: The evaluation is final and (if applicable) visible on the profile. An administrator can, if necessary, revert a published evaluation to On hold.

  • Closed: The evaluation will not be published. This can be decided by an administrator or initiator for scores of 5 or higher.


Frequently Asked Questions (FAQ)

When is an evaluation immediately 'Published'? This only occurs if the evaluator possesses the necessary permissions to publish the evaluation and the score constitutes a passing grade. In all other instances, the status is initially set to 'Submitted'.

What happens to evaluations I forget to complete? As soon as the initiator closes the entire evaluation list, all pending evaluations in that list are automatically set to Canceled.

Troubleshooting

  • Symptom: I gave a 5, and the evaluation has disappeared from my 'Open' overview.

    • Cause: The evaluation is now in Quarantine.

    • Solution: Check the 'Quarantine' or 'All Evaluations' tab to track the status.

  • Symptom: An evaluator accidentally rejected an evaluation.

    • Cause: The status is now Rejected.

    • Solution: The initiator can manually reset the status to Open via the three dots behind the evaluation.
