How can I provide internal feedback to the evaluator?

To maintain close communication between initiators and evaluators, it is sometimes necessary to add additional communication to evaluations with a specific score. When a score is assigned that requires feedback, the initiator is notified so they can take action.

This feature is intended for administrators and initiators. They are responsible for monitoring the quality of the completed lists and handling internal communication with the evaluators.

Methods for providing feedback

There are two ways to provide the required feedback:

1. Via email notification

When a score triggers an action, the initiator automatically receives an email with an explanation and the required action. If the "Feedback Reminder" option is enabled in the company settings, you will receive a weekly summary of all pending actions.

2. By logging into the Evaluator

In the relevant evaluation list, the number of evaluations is indicated in red on the left-hand side. In the overview and reports, you can filter specifically by the status "Feedback required." 

Step 1: Provide feedback

Once you have opened the relevant evaluation (via the link in the email or the dashboard), you can initiate the communication.

  1. Go to the specific evaluation.

  2. On the right side, in the communication window, you will see a notification that the evaluation still requires feedback.

  3. Click the Send Feedback button. 

Step 2: Send feedback

After clicking the button, you can compose your message.

  1. Type your message for the evaluator in the text field.

  2. Click the Send button.

  3. The "Feedback" label will now automatically disappear from the evaluation.

  4. The communication history is saved at the bottom of the messages.

The evaluator will immediately receive an email notification with your message, so they are aware of the feedback.

When exactly is feedback required? This depends on the company settings. Usually, this is set based on a specific threshold (for example, for a score lower than a 6).

Can I see if a colleague has already provided feedback? Yes, in the reports and the evaluation overview, you can filter by 'Feedback provided'. Additionally, the text sent is always visible in the communication history on the right side of the evaluation.

Troubleshooting

  • Symptom: I am not receiving email notifications for required feedback.

    • Cause: The notification settings or the weekly reminder may be turned off in the Company Settings.

    • Solution: Ask the administrator to check the settings for 'Feedback Reminder'.

  • Symptom: The red "Feedback Required" label remains.

    • Cause: A message was sent using the regular message button instead of the specific "Send Feedback" button.

    • Solution: Use the "Send Feedback" button to officially complete the action in the system.
