How can I manage my questions in the Evaluator?

In the 12Build Evaluator, the quality of your questions forms the basis for valuable management information. By centrally managing questions, you can easily reuse them in different questionnaires and assign specific weighting factors to give certain performance metrics greater weight.

Summary

You manage evaluation questions via the Management > Questions module. Here you can create new questions (graded, multiple-choice, or open-ended), set weighting factors, and link questions to specific questionnaires. The weighting factor determines which questions carry the most weight in a supplier’s final average score.

Requirements and Target Audience

Management of the question library is restricted to users with the Administrator role. Other users can view the questions during evaluation, but cannot modify the structure or weighting factor.

Question overview

All questions used within your organization are collected in a single central library.

  1. In the main menu, go to Beheer and select the Vragen option.

  2. Search and filter: Use the advanced filters at the top of the page to find specific questions.

  3. Add directly: On the right-hand side, you can directly select an existing questionnaire to group questions more quickly.

  4. Overview: In the overview, you can immediately see which lists a question is linked to and which labels (such as categories) have been assigned.

Add or edit a question

When creating a question, you define how the data should be collected and calculated.

  1. Click the Add Question button (or the edit icon next to an existing question).

  2. Question type: Choose from the following options:

    • Grade: For a quantitative assessment.

    • Multiple choice: For specific scenarios.

    • Open-ended: For textual explanations.

  3. Weighting factor: Specify the relative importance of this question. A question with a weighting factor of 2 counts twice as much toward the final average as a question with a factor of 1.

  4. Explanation: Indicate whether a textual explanation for the answer is optional or required.

  5. Labels: Link labels to the question for better reporting options.

  6. Not applicable: Activate this button if you wish to allow the evaluator to skip a question if it is not relevant to the specific supplier.

Add questions to the questionnaire

Once your questions are ready, they must be placed in a questionnaire in a logical order.

  1. Ensure that you have created a questionnaire first (see the article on creating questionnaires).

  2. Select the desired questionnaire from the right-hand menu.

  3. Click the plus sign (+) next to the question in the overview to add it directly to the selected list.

  4. You can easily switch between different questionnaires during this process to quickly organize your library.


Frequently Asked Questions (FAQ)

What happens if I edit a question that is already in an active evaluation? Changes to the text or weighting factor of a question are usually applied immediately. Please note that this may affect the comparison between older and newer reports.

Can I delete a question that has already been answered? The system will display a warning if a question is linked to existing data. It is recommended to unlink questions that are no longer in use from lists rather than permanently deleting them.

Troubleshooting

  • Symptom: The average score of my evaluation does not feel right.

    • Cause: Different weighting factors are likely set for the questions.

    • Solution: In the overview under Management > Questions, check the weighting factor for each question and set it to 1 if all questions should carry equal weight.

  • Symptom: I cannot locate the “Add Question” button.

    • Cause: You do not have administrator rights in the Evaluator.

    • Solution: Ask the main administrator within your organization to check your permissions or to create the question for you.
