How can I manage my label categories in the Evaluator?

Label categories form the foundation of a structured Evaluator environment. They allow you to accurately filter data in reports and ensure that evaluators only see questions that are relevant to them. Before you can use individual labels, you must first create an umbrella category.

You manage label categories via the Management > Labels module. Here, you create the main groups (such as 'Project Phase' or 'Region') to which you will later link specific labels. You decide whether labels are required, who can view them, and whether they are used to automatically filter questions in a questionnaire for the evaluator.

This functionality is available exclusively to administrators. Setting up categories correctly is essential for the proper functioning of the automatic question filters and the depth of your management reports.

Category overview

In the admin environment, you can immediately see how your current label system is structured.

  1. In the main menu, go to Administration and select the Labels option. 


  2. You will be taken directly to the overview of all categories.

  3. Use the filters on the left to quickly find a category based on:

    • Name

    • To link to (e.g., Supplier or Request)

    • Mandatory

    • Request filter status

Add or edit category

When creating a category, you define the rules for using the underlying labels.

  1. Click the Add Category button (or the edit icon for an existing category).

  2. Enter the following values:

    • Name: The name of the group (e.g., 'Discipline' or 'Location').

    • Required: Indicate whether a label from this category must always be selected.

    • Multiple labels: Can an object (such as a supplier) have multiple labels from this category at the same time?

    • Evaluator may add labels: This gives the evaluator the freedom to create a new label during an ad-hoc evaluation.

  3. Link to: Specify where these labels may be used (Evaluation, User, Supplier, Request, etc.).

  4. Available to: Specify which roles (Administrator, Initiator, Evaluator) are allowed to view and use the labels in this category. 

Filtering for questions

A powerful feature of label categories is the automatic filtering of questions.

  • If you enable the Question Filter option, labels are used to determine which questions an evaluator receives.

  • Example: Link the "Electrical" label to a specific question. When an evaluator rates a supplier with the "Electrical" label, this question automatically appears in the list.

When can an evaluator create labels themselves? This is only possible for ad-hoc evaluations and when the category settings specifically indicate that the evaluator has these rights.

What happens if I delete a category? Deleting a category has major consequences for your filters and reports. Labels already linked to suppliers or questions will then be removed.

Troubleshooting

  • Symptom: I cannot link a label to a specific question.

    • Cause: In the category settings, 'Question' is not checked under 'Link to'.

    • Solution: Edit the category and check 'Question' under the linking options.

  • Symptom: Evaluators see too many irrelevant questions in their list.

    • Cause: The 'Question filter' feature is likely turned off for the relevant label category.

    • Solution: Enable filtering in the category settings and ensure that both the questions and the suppliers/evaluations are tagged with the correct labels.
