How do I complete an evaluation checklist in the Evaluator?

Summary

Once all evaluators have submitted their assessments, it is time to close the evaluation list. This action collects all results, closes pending requests, and shares the final reports with the evaluated suppliers.

Requirements and Target Audience

This feature is available exclusively to administrators and initiators. The time of publication depends on the settings:

  • If the evaluator is permitted to publish independently, this occurs immediately upon completion.

  • If only the initiator is allowed to publish, all evaluations are sent to the suppliers only upon completion of the list.

To close a list, you must first select the specific evaluation round.

  1. Navigate to the overview of evaluation lists.

  2. Locate the list you wish to complete.

  3. Click the Open button.

In the list's detail overview, you can set the final status of the round.

  1. Check the progress of the evaluations on the right side of the screen.

  2. Click the Complete button on the left. 

  1. A pop-up will appear with information about the consequences of finalizing. Confirm the action to permanently close the list.

Question: What happens to evaluations that haven’t been completed yet? Answer: Upon completion, all pending evaluations will be marked as ‘Closed.’ No further actions or changes can be made to them after that.

Question: Are evaluators notified when the list is closed? Answer: Yes, evaluators who have not yet completed their assigned evaluations will automatically receive an email stating that the list has been closed and their contribution is no longer needed.

Troubleshooting

  • Symptom: I accidentally closed a list and wish to add another evaluation.

    • Cause: A completed evaluation list is given a final status to protect data integrity.

    • Solution: Please note: a completed evaluation list cannot be restarted. In that case, you will need to create a new (ad hoc) evaluation or a new list for the remaining items.
