How do I create a project?
Creating a project is the foundation for sending requests for proposals and managing your documents. In this article, we will guide you through the step-by-step process of setting up a new project correctly in 12Build.
What will you find in this article?
-
Basic data and structure: How to record your project’s key information.
-
Project structure and features: Decisions regarding phasing and splitting documents.
-
Scheduling and reminders: Setting deadlines and automatic emails.
-
Location and presentation: Why a construction site and artist’s impression are crucial.
-
Access and confidentiality: Who is allowed to view your project.
-
Saving and documents: The final step toward a complete project.
Summary
You create a project by filling in all relevant metadata, from calculation numbers to deadlines and construction sites. By adding automatic reminders and an artist’s impression, you optimize the response from subcontractors. After saving, you can immediately start managing project documents.
Prerequisites and target audience
This article is intended for general contractors (estimators and work planners) who want to start a new project in 12Build. Some settings, such as the system configuration or additional features, must be activated in advance by an (assistant) administrator in the company settings.
Steps 1 through 3: The basics of your project
Start by entering the general characteristics of the project:
-
Add project: Start a new project via the main menu.

-
General project details: Enter the project name, the estimate number, and the job number. Select the desired classification system (such as STABU, RAW, or NL/SfB).
Note: If a specific system is missing, have your administrator adjust this in the company settings.
-
Project features: Here you can enable the option to split documents, allowing you to link specific attachments to your Request for Proposal.
Steps 4–6: Planning and Automation
Good planning ensures clarity for subcontractors:
-
Project structure: Choose a standard or extended phase structure.
Important: The phase structure cannot be changed later. You can optionally hide the current phase in messages to subcontractors.
-
Dates: Enter all milestones (construction start, bidding, site inspection). Also communicate the deadline for questions and the final quote deadline here.
-
Reminders: Specify whether subcontractors who have not yet responded should automatically receive a reminder via email.
Steps 7–9: Presentation and Construction Team
Make your project attractive and easy to find:
-
Artist’s impression: Upload an image of the project. This results in an average of 30% more responses.
-
Construction site: Enter the project address. This is essential because it allows you to filter subcontractors based on their distance from the construction site.
-
Bouwteam: Voeg de gegevens toe van de betrokken collega's. Deze informatie wordt toegevoegd aan de Request for Proposal.
Steps 10–12: Access and security
Determine who has access to sensitive information:
-
External parties: You can grant third parties (such as external consultants) access via 'Access Rights' after the project has been saved.
-
Document access: Choose whether all documents are visible to all subcontractors, or whether you share documents selectively.
-
Confidentiality: Mark the project as a 'confidential project' if only specific users (in addition to administrators) are allowed to view it.
-
Non-Disclosure Agreement (NDA): If necessary, you can upload an NDA after saving that subcontractors must first accept.
Steps 13 & 14: Finalize
-
Save project: Click the Save button at the very top of the page.
-
Documents: Once the project is saved, the Documents tab opens automatically. You can now start uploading and organizing your project files.
Frequently Asked Questions (FAQ)
Question: Can I change the phase structure of my project later? Answer: No, the choice between a standard or extended phase structure is final once you save the project. So be sure to think this through carefully beforehand.
Question: Why don’t I see the “Project features” option? Answer: This option may first need to be enabled by your company’s administrator in the company settings.
