How can I manage the contacts in my company profile?

In this article, you will learn how to add colleagues to your company profile, manage their permissions, and handle contacts created by general contractors. By managing your contacts effectively, you ensure that the right people always receive the relevant Requests for Proposals.

Summary

You manage contacts via the Company Profile menu. Here, you can grant colleagues full access to manage projects or set them as CC recipients. Contacts added by general contractors (other contacts) have limited access unless you manually upgrade their permissions.


Requirements and Target Audience

This article is intended for users with administrator rights within the 12Build company profile. To add new contacts, additional authentication is required for security reasons.


Types of contacts

Within 12Build, we distinguish between three types of users:

  • My contacts: Fully visible to general contractors. They can receive requests, edit the profile, and view all projects.

  • My hidden contacts: Have full rights and can log in, but are invisible to the marketplace. Ideal for colleagues who are only observing in the background or need to be in the CC.

  • Other contacts: These are created by a general contractor (indicated by the hyphen -). They only have access to the projects to which they have been specifically invited and cannot change company settings.


Adding and removing contacts

Manage your team by adding or removing users when they leave the company.

  1. Go to Company Profile > Contacts

  2. Click Add Contact and enter the email address. Complete the additional authentication step.

  3. Fill in the details (name, job title, phone number) and, if applicable, set whether the person is the Primary Contact or CC Recipient

  4. To remove: Click Remove User in the top-right corner of the person’s profile.

    Note: If the button is not visible, the person is linked to external projects; in that case, email support@12build.com to request removal.


Send Password

Does a colleague need help logging in?

  1. Find the relevant contact in the list.

  2. Click the Send Password button. The colleague will immediately receive an email with a recovery link. 


Pending tasks

When a general contractor invites one of your new colleagues who isn’t in the system yet, this will appear under Pending tasks.

  1. Click on Review contact.

  2. Choose from the three options:

    • Limited access: The person can only view the specific project.

    • Full access: The person becomes a full-fledged colleague in your profile.

    • Reassign and remove: You assign the project to another colleague and remove the suggested name. 


Frequently Asked Questions (FAQ)

Question: Why can’t I delete an “Other contact” myself? Answer: These contacts belong to the General contractor who added them. To have them removed from your list, you need to send a request to support@12build.com.

Question: What is the benefit of a CC recipient? Answer: A CC recipient automatically receives a copy of every Request for Proposal sent to your company. This is useful for team leaders or administrative support.

Troubleshooting

  • Symptom: I cannot manage or add contacts.

    • Cause: You likely have limited permissions (e.g., as an "Other Contact").

    • Solution: Ask your internal administrator to adjust your permissions or contact support@12build.com.

  • Symptom: A new colleague isn’t receiving the activation email.

    • Cause: The email may have ended up in the spam folder, or the email address contains a typo.

    • Solution: Verify the email address in 12Build and use the 'Send Password' button to resend the email.
